Golden State Farm Credit is a federally regulated agricultural lender serving farmers and landowners across Butte, Fresno, Glenn, Kings, Shasta, Tehama, Trinity, and Tulare counties in California. Golden State operates under the oversight of the Farm Credit Administration and offers real estate and operating loans exclusively to the agricultural community. With 83 employees across six offices, the firm plays a critical role in a region where access to reliable agricultural financing directly shapes the livelihoods of California's farming families.
Challenge: Six Offices, Two Systems, Siloed Loan Teams
When Northern California Farm Credit and Kingsburg Land Bank Association merged in 2014 to form Golden State Farm Credit, the operational reality didn't change overnight. For years, the combined firm continued to run much as it had before—with separate IT environments, different file structures, siloed lending teams, and no consistent way for staff across locations to work from the same information.
"Credit files — which office are you talking about?" recalls Brad Stephenson, senior technical support and security analyst at Golden State Farm Credit. This was a real question employees had to answer before they could route someone to the right place.
“We were still operating as separate offices,” Stephenson explains. “Each location had its own IT approach, systems, and file structures. Our goal was to centralize the data, standardize it, and bring everyone together to work as one cohesive team.”
The challenges weren’t solely organizational. Some offices operated in areas without access to high-speed internet. In the Kingsburg office, slow connections meant collaboration was largely asynchronous, with files shared manually via email. “Sending a file to another office or client could take five to six minutes,” says Stephenson.
Business continuity was also a top priority. The team needed employees to access critical files regardless of on-premises disruptions. “In addition to centralization, it was essential that we could still access data if a server or even all servers went down,” Stephenson explains. “Employees needed the ability to work remotely or on-site with a customer while still accessing the information required to do their jobs.”
When its service provider, AgVantis, began transitioning to Microsoft 365 and cloud-based infrastructure, Golden State recognized an opportunity. What pushed them toward Egnyte specifically was a combination of cost, features, and community. Two other Farm Credit peers, Colusa Glenn and Western Oklahoma, had already adopted Egnyte.
“When we began reviewing our options, Azure was also under consideration,” Stephenson explains. “However, we found Azure’s pricing to be relatively high, while Egnyte delivered greater value—particularly in areas like data retention.”
The platform’s governance capabilities ultimately set it apart. “Egnyte demonstrated a strong Secure and Govern approach that closely matched our requirements,” says Stephenson. “Its ability to support data archiving, enforce approval-based workflows, and enable policy-driven data deletion provided a layer of confidence for us.”

Solution: A Phased Migration Built Around How Loan Teams Work
The rollout unfolded department-by-department over six months, as the team wanted to clean up and rearchitect the two independent repositories into a unified design before the move.
Before a single file moved, the team conducted a structured pre-migration cleanup and confronted years of accumulated redundancy.
The migration tool proved critical. "We were able to pre-stage the data leading to our go-live date and did a refresh of the data the night before," Stephenson says.
Sequencing departments was deliberate. Faith Chalk, business applications administrator, describes the logic, "We started with the departments where users only had to work within their own department structure. When we got to the later months, we addressed teams that had to dip into multiple departments, like loan accounting and credit."
The largest challenge was the appraisal department, which stored terabytes of data with large-format reports filled with images from farm field evaluations. The initial bulk upload took four to five days. The final change sync before go-live took just a few hours.
The end state was streamlined and intuitive for users. Dozens of shared drives were consolidated into a single, central location.

With the migration complete, the benefits extended well beyond an organized file structure.
Simplified borrower submissions visible to the whole loan team
Golden State replaced its previous ShareFile setup with Egnyte’s secure file-sharing workflow, creating a dedicated structure for loan document collection and sharing. Loan officers and their analysts share a common folder, so no one is waiting on a forwarded email to pick up their part of the process. "When a customer provides or shares a document, the team can all see it within that one folder," Chalk says. For borrowers, the result was a faster, more responsive process from application to decision.
Seamless access for remote and distributed staff
With six offices and several remote employees, the shift to cloud-based file access made an immediate difference. "With the cloud function, we've received positive feedback on how quickly employees can access information," says Chalk. Stephenson echoes: " There's no difference between working remotely or working in the office. File uploads and downloads are just as fast."
Granular access control and faster security reporting
Egnyte addressed a challenge Stephenson had long wanted to solve: the ability to limit what users could see, not just what they could touch. In Active Directory, users can see folders they couldn't open. It was a persistent source of confusion and permission requests. Egnyte’s access control model eliminated that entirely.
The security structure also proved straightforward to administer. "It's so easy to use and easy to set up," Stephenson says. Running quarterly permission audits and sharing reports with business owners to verify who should have access now takes a fraction of the time. "What used to take me three or four days now takes half an afternoon thanks to the system’s strong reporting capabilities.
Audit work and co-editing that stays on one platform
The co-editing capability removed friction in collaborative work that previously required workarounds. "Previously, files on the server were locked for editing" Chalk explains. "We had to use SharePoint for simultaneous collaboration.” Egnyte enabled the team to consolidate that work. “During audits, which occur multiple times each year, our teams can now update the same spreadsheet simultaneously without interruption.”
One less tool: Faster recovery built-in without mounting a restore
One change that Chalk describes as a "happy accident" was the impact of version history and the recycle bin on day-to-day IT support.

The ability to filter by the person who deleted a file made it faster to track down the correct version. What started as a happy accident turned out to be a simpler tech stack.
What's Next: Data Governance and AI at Scale
Golden State Farm Credit's use of Egnyte is maturing. At the start of 2026, the team began implementing document labeling via a Microsoft Purview integration, a critical step for a regulated lender subject to strict Farm Credit Administration record retention requirements. "Since we have a four-year retention schedule, any data from 2021 and earlier will be purged," Stephenson explains. “Every folder in the system already carries a retention schedule, with documents organized by year to keep enforcement manageable.”
The next step is to pair that structure with governance controls that ensure sensitive records live only where they're supposed to. “Our goal is to ensure records are located only where they belong, based on data sensitivity,” Stephenson says. “That’s my vision and we’re working toward it now.”
The team is also closely monitoring Egnyte’s AI-driven governance capabilities. Stephenson attends Egnyte webinars to stay informed, and compliance and policy agent features—designed to ingest firm policies based on Farm Credit Administration guidance and recommend appropriate configuration settings—are on the roadmap for evaluation. The team is also exploring how Egnyte AI can support the lending workflow.
“I want to understand what’s coming because it shapes the strategy I have in place,” Stephenson says. “If new capabilities can support what we’re working on, we’re absolutely interested.
